With multiple offices, the firm combines legal expertise with a client-first approach, making it a formidable advocate for individuals and organizations seeking justice.
Project Summary
BRIO implemented Litify to centralize case data, streamline intake workflows, and enhance security. Automated processes, custom questionnaires, and reporting improvements give the firm greater efficiency, visibility, and control across all cases.
Challenge
The firm faced inefficiencies and a lack of centralized data management across its Intake, Personal Injury (PI), and Commercial Litigation departments. Their existing systems included a legacy Salesforce database for intakes and various home-grown software for case management. This fragmented approach led to manual data exports, potential for data inconsistencies, and a lack of streamlined workflows. Specifically, the firm needed to:
- Consolidate intake and matter data into a single, unified platform.
- Streamline the intake process, from initial contact to matter conversion.
- Automate team assignments and notifications for intakes.
- Implement robust security and data privacy controls, especially for sensitive client information.
- Enhance reporting capabilities for intake and matter progression.
- Improve efficiency in tasks like scheduling callbacks and attorney reviews.
Solution
BRIO partnered with the firm to implement Litify, a Salesforce-based legal practice management system, to centralize data, streamline workflows, enhance communication, and improve security.
Centralized Data & Document Management: Existing intake records and legacy case data were migrated into Litify as Matter records, while documents from multiple locations were consolidated in Docrio.
Streamlined Intake Workflows: All new cases now begin as an intake, with automated integration from the firm’s website via the Intake API. Manual intake creation is simplified through a “Quick Create Intake” screen flow, and defined intake statuses, sub-statuses, and custom questionnaires improve case qualification and tracking.
Enhanced Communication & Automation: Automation assigns teams, generates Litify Notes, and simplifies tasks via a Flow Button Bar and quick actions like “Schedule Callback.” Critical alerts and autopopulated dates ensure timely, accurate information.
Robust Security & Data Privacy: Custom privacy and sharing models protect sensitive data, including a dedicated Private Personal Information (PPI) object, role-based permissions, and Microsoft SSO with Duo MFA. Validation rules enforce proper workflow adherence.
Reporting & Usability Improvements: Call dispositions, custom sorting of intake lists, and display name overrides enhance reporting and ease of use across the system.
Outcome
The Litify implementation is designed to provide the firm with a unified, efficient, and secure platform for managing its Intake and PI/Commercial Litigation processes. By centralizing data, automating workflows, and implementing granular security controls, the firm aims to:
- Improve data accuracy and reduce manual effort.
- Accelerate the intake and matter conversion processes.
- Enhance collaboration and communication within the legal teams.
- Strengthen data privacy and compliance.
- Gain better insights into case progression through improved reporting.
