Docrio is Litify’s document management solution. It keeps documents organized alongside the matters they belong to, so your team can find what they need without searching across drives, email, and desktops.
Like any document system, Docrio works best when it’s set up with a plan. These practical tips help firms get more out of it. Exact features and settings can vary with your Docrio configuration, so check with your administrator or implementation partner before making changes.
Start with a consistent structure
Decide how documents should be organized for each matter type, such as folders for intake, medical records, correspondence, pleadings, and settlement. A consistent structure means anyone can open any matter and know where to look. Build it around how your team works, not how the old system happened to be organized.
Agree on naming conventions
A simple naming convention makes documents easier to find and sort. Many firms include a date, a document type, and a short description, for example “2026-03-14 Medical Records – Dr Smith”. Write the convention down, keep it short, and make it part of training.
Set permissions deliberately
Decide who can see, edit, and delete documents, especially sensitive ones. Permissions should reflect roles and need-to-know access, and they should be reviewed as teams change.
Get documents in automatically
The less manual uploading, the better. Look at how documents arrive today, such as email, scanning, client uploads, and records requests, and connect as many of those paths as you can so documents land on the right matter automatically. Integrations like records retrieval inside Litify can deliver returned documents directly to the matter.
Generate documents from templates
Letters, retainer agreements, and other routine documents can be generated from templates that pull in matter and client details. Start with the documents your team creates most often, then expand.
Add e-signature
Sending documents for signature from inside Litify saves time and keeps signed copies with the matter. Native e-signature tools like bSign, built by BRIO for Litify and Salesforce, keep the whole process in one place.
Plan the document migration carefully
Moving documents from your old system is often the largest part of a migration by volume. Decide which documents move, map them to your new folder structure, and plan for files that can’t be matched to a matter. Our law firm data migration checklist covers document migration in more detail.
Train, then revisit
- Train every user on where documents go and how to name them.
- Check in after a month to see where documents are ending up in the wrong place.
- Adjust the structure based on how people actually work.
